Tri 1 Report Card Information

Hello RCSD Educators,

We wanted to let you know information regarding the Trimester 1 report card.  Because many students will be changing programs and classes at the end of the trimester, we need to have all report cards sent to parents by October 30th.  We know this is earlier than past practice, as is the change of elementary conferences from November to February. 

Teachers will need to have the report cards completed by the end of the day on October 27th to give clerical time to get the reports ready to send home. 

Because this is a new process, our team will be offering time to answer questions on October 12th, 19th, 26th, from 2:30-3:15 and 3:30-4:15.  We will include the Zoom links in the Optional Monday PD document.  

PLC Report Card Prep time will be on October 19th, instead of the previously scheduled October 26th.

Information for All Grades
  • If you did not assess a Domain in a Trimester, you can just leave it blank
  • The ability to override a final grade is coming to Otus, but unfortunately, it is not available during Trimester 1.  Because of that, elementary and middle school have different ways they will be entering grades for this Trimester. TK and K-5 will enter one final grade for each domain assessed,  middle school will rely on the mean of scores for domains on the Summative and Learning Behavior grade scales for the Trimester.  Please see additional information below. 
  • If you did not assess a domain and there is no data for a domain, and it will not show on the Report Card.  There is not a NA (Not Assessed) option in Otus.
  • Here is a guide on how to mass grade a rubric assessment from the assessment itself.  This might be helpful for an assignment or domain where students received the same score (example consistently on a Work Completion assignment, Target for an ABC standard in elementary school, or participation in Science or History).
  • You can enter comments for the report card.  Here is a guide from Otus or you can click here to watch this video on how to enter comments.There is not a comment code bank in Otus. 
    • If a student has an IEP you can put this comment:
      • Please see additional information that will be sent home separately
    • If a student is receiving modification you can use this comment:
      • Student is receiving modifications in this area

TK, K-5, and Elementary PE
Please review the guide below for the details needed on how to enter grades for TK, K-5, and Elementary PE.  Elementary PE teachers will enter the PE participation grade.  The guide includes step-by-step instructions and also has video tutorials at the end that explains this process.

Grades will show to parents and students as soon as they are entered.

Summative Elementary Grade Scale Report Card Example (ABC Standards, Math, ELA)- A reminder that you do not need to score all academic domains if you have not assessed them at this point in the year.

TK- We will go over information with you during our training on October 5th.

In order to help them best support teachers, we will be training admin and Elementary LITEs on this process on October 6th.  We ask that you hold off asking them for help until after their training.  We know this is a new process and anytime we learn something new there is a learning curve.

Middle School
There is currently no override for a final grade, meaning the domain grade will be calculated using Mean.  

Below are three options to change a student score if you feel they deserve a different grade based on recency and consistency of their performance: 
You could change the grade on an assignment
You can unassign an assessment just for that student 
You could add a score just for that student.
If you need help adjusting scores in any of the 3 ways mentioned above please ask your LITE.

Next week we will have additional information regarding how reports will go home to parents, as well as the sample letter that will go home with the report card.  The letter will give an explanation of the grade scales and a reminder to parents that all standards are considered year-long and the report card reflects a students current progress on what they have learned so far in the school year in regards to that particular standard.

Assessment Build by the District, Attention K-5 teachers

A reminder that as we build Benchmark assessments, they will be added to your “Shared with Me” folder within OTUS.  At this time we are going to shift to building the weekly assessments.  Eventually we would like to build the larger Unit assessments as well.  However, the results of the survey indicated that you would prefer the weekly tests right now.  Currently, Unit 3 weekly assessments are being built.  Continue to check your folder for the newest additions!   


Advanced Assessments

If you are interested in learning more about Advanced Assessments, please come to the optional PD on Monday, October 5th.  


Below are answers to recurring questions that have popped up:

  1. If you would like an assessment to have a variable score, you will need to build the Advanced Assessment within the “Points Grading Scale.”

  2. If you are assigning Advanced Assessments that have been shared with you by the district, you will only have to assign a score to the questions that are not auto-scored. The question(s) will auto-populate at the top of the assessment when you click “Grade.” 

  3. In order for questions (attempts) to show up in your grade book, you will need to make sure standards are linked to the question. 

  4. If you decide to use questions from the item bank, please know the standards Otus has linked to those questions cannot be edited.  They don’t have the RCSD “Custom Standards” linked. Please know, all the standards they do have linked to the question will show up in your grade book.

Tech Update


Certificated Laptop Refresh

The District has purchased additional MacBook Airs to refresh all certificated teachers still utilizing Chromebooks and/or MacBook Airs (three years or older), to establish a standard that will sustain and support the platforms used during Distance Learning. Technology Services hopes to receive these devices in the next six to eight weeks, and will begin deploying them as soon as possible.

School Device Insurance Coverage

As of today 1,015 families have purchased insurance independently for school-issued Chromebooks. The option for families to purchase mobile device coverage on their District issued device has been EXTENDED to October 23, 2020. Please click the link below for additional information:

  1. Thanks for the info. Question: at one point I thought there was an option for parents to buy a chromebook, maybe for like $150 or so if I remember correctly? Or am I thinking of my son's school in Rocklin? Is this still an option for Roseville families?
